Missed leads are often a handoff problem.
A business can have a good source of demand and still lose opportunities when calls, forms, and messages land in separate places without a clear owner.
Warning signs
- Missed calls have no callback task or response target.
- Web forms go to a shared inbox with no assigned owner.
- After-hours inquiries wait until someone remembers them.
- A lead can be contacted without a recorded next action.
Ten-minute diagnostic
- Review the last ten calls, forms, and messages.
- Record received time, first response time, owner, source, and next action.
- Count records without a response target or final status.
- Fix one route and measure response speed and booked conversations for the next sample.
Practical correction
Give every inquiry one owner, one next action, and one visible status. Confirm receipt, route urgent requests differently when justified, and close the loop when a lead is won, lost, not a fit, or intentionally deferred.
